The Mailroom Clerk is primarily accountable for supporting mailroom and facility operations.  This position is responsible for all mail, packages, deliveries – incoming and outgoing – at the corporate office. The clerk is required process all documents related to our medical records retrieval department, post all mail, track packages, and resolve problems with shipments and missing packages, in addition to assisting corporate staff mail needs. The Mailroom Clerk will also perform clerical functions that may include any of the following; accurate maintenance and storage of records, copying of specific

documents, support of special projects such as preparing mass mailings or storage clean-up, rother clerical duties as assigned.


Essential Duties & Responsibilities:

·       
Process documents (including scanning) received for medical records retrieval requests.

·        Post all outgoing U.S. Mail, including FedEx and special mailings.

·        Sort and distribute incoming mail and packages from USPS, private carriers and other vendor deliveries to the intended recipient.

·        Execute best practices for sending out business shipments.

·       
Assist with needed mailing/print requests for business units.

·        Account for and reconcile outgoing mail and verify readiness for mailing.

·        Compiles and keeps records of quantity, type, and value of material, property, equipment, merchandise, or supplies.

·        Counts material, property, equipment, merchandise, or supplies and posts totals to inventory/property records.

·        Pick-up and drop-off mail runs to all corporate departments.

·        May operate various office machines.

·        May stock and issue materials or merchandise

·        Resolve miscellaneous problems with other Episource departments as needed.

·        Maintain the organization and cleanliness of the mailroom.

·        Requires an individual to maintain the ability to work in an environment with PHI / PII data.

·        Process an approximate 200 average records, daily.

·        May be assigned other duties Must maintain compliance with all company policies and procedures.

  

Qualifications/ Requirements:

·       
Minimum 2 years of strong office experience required.

·        High School Diploma or G.E.D. required.

·        Six months of experience working with personal computers, emphasis working with: Scanning equipment, flash drives, CDs, file movement, FTP programs, and communicating via e-mail; Electronic Health Records/Medical Records a plus.

·       
Six months experience working with Microsoft Office Suite, Adobe, IE and transfer file programs such as ftp or FileZilla.

·        Basic understanding of scanning functions and folder structures.

·        Basic understanding of Excel.

·        Basic understanding of HIPAA and PHI.

·        Basic navigational knowledge of Adobe Acrobat Standard and Salesforce preferred.

·        Knowledge of HIPAA Compliance rules and regulations a plus.

·        Professionalism in appearance, communications and demeanor.

·        Must be able to work independently with limited supervision.

·        Must be organized and detail oriented.

·        Fluency in English with professional grammar in verbal communications.

·        Effective, professional written communication skills.

·        Maintain a high level of productivity and confidentiality

·        Good problem-solving skills and attention to detail.

·      Team oriented.

·        Reliable transportation and ability to report to work on time every day.

  

 

Physical Requirements:

·        Ability to perform the essential job functions consistent safely and successfully with the ADA, FMLA and other federal, state, and local standards, including meeting productivity standards.

Must be able to lift and carry
up to 30 lbs.

Must be able to talk, listen, speak,
and view regularly.
 
Specific vision abilities required by this job include color vision.

Working Conditions:
 
Working conditions are normal for an office environment. 

Requires prolonged sitting, some standing, some bending, stooping, and stretching, requires eye-hand coordination and manual dexterity sufficient to operate a computer keyboard, photocopier, telephone, and other office equipment.

Work may require occasional
weekend and/or evening work.

Appropriate Personal Protective Equipment (PPE) is required when in a clinical setting.

10% domestic travel. Travel is primarily local during the business day, although some out of the area and overnight travel is to be expected.
